Job Description

 

 

What are the Key Deliverables in this role?

 

Financial Outcomes

 

  • Ensure timely processing of Transaction Certificates (TCs), traceability records, and mass balance documentation to support uninterrupted sales and dispatch of certified organic products.
  • Minimize compliance-related risks, certification delays, and audit observations that could impact revenue generation and business continuity.
  •  Support efficient production planning by maintaining accurate production and certification records, reducing operational losses and rework.
  • Contribute to cost-effective operations through effective coordination with Production, Stores, and Supply Chain teams for smooth execution of monthly demand plans.

Customer Service

  • Ensure timely submission and approval of certification documents with Certification Bodies (CBs) to support customer requirements for certified organic products.
  • Maintain accurate traceability and certification records to uphold customer confidence in product authenticity and organic integrity.
  • Provide prompt and accurate information during external audits, inspections, and customer verification activities.
  • Support business commitments by ensuring certified product availability through proactive compliance management and documentation.
  • Drive continuous improvement initiatives to enhance equipment performance, process efficiency, product quality, and operational responsiveness.
  • Support new capacity expansion projects, and process modifications by ensuring timely engineering and maintenance support.

Internal Processes

 

  • Verify inward material documentation and cross-check supplier Transaction Certificates against received organic materials.
  • Prepare and maintain traceability, mass balance records, and Tracenet lot creation on a daily basis.
  • Submit Tracenet batches and certification applications (NPOP, NOP, EU, JAS) to Certification Bodies for timely approvals.
  • Maintain systematic filing and record management of product specifications, labels, scope certificates, and transaction certificates for audit readiness.
  • Conduct regular plant visits to verify compliance with organic standards and identify corrective actions before audits.
  • Supervise day-to-day production compliance activities and prepare MIS reports for management review.

Innovation and Learning

  • Continuously enhance knowledge of organic certification standards including NPOP, NOP, EU Organic, JAS, and Tracenet requirements.
  • Develop advanced skills in traceability management, mass balance preparation, and organic compliance documentation.
  •  Improve proficiency in MIS reporting, Excel-based data analysis, and digital record management systems to strengthen compliance controls.
  •  Identify opportunities to streamline documentation processes, improve audit preparedness, and strengthen production compliance systems.
  • Stay updated on evolving organic certification regulations and industry best practices to ensure continuous compliance and operational excellence.

What are the Critical success factors for the Role?

  • Mandatory Qualification: Bachelor's Degree / Diploma in Agriculture, Food Technology, Biotechnology, Life Sciences, Food Science, or any related discipline.
  • Experience: 1-3 years of experience in Organic Certification, Traceability Management, Quality Compliance, Production Compliance, Food Processing, or Agri-based industries.

Mandatory Skills:

  • Organic certification documentation and compliance management (NPOP, NOP, EU, JAS).
  • Traceability and Mass Balance preparation.
  • Tracenet lot creation and transaction certificate management.
  • Record management and audit documentation.
  • Production compliance monitoring and process verification.
  • Strong coordination skills with Production, Quality, Supply Chain, Stores, and Certification Bodies.
  • MIS reporting and data management.
  • Knowledge of GMP, Food Safety, and Organic Standards.
  • Language: Proficiency in Hindi and English (verbal and written communication).

What are the Desirable success factors for the Role?

  • Knowledge of international organic certification requirements and regulatory updates (NOP, EU Organic, JAS).
  • Hands-on experience in certification audits and certification body interactions.
  • Advanced proficiency in MS Excel, ERP systems, and digital traceability platforms.
  • Experience in Food Processing, Herbal, Nutraceutical, Tea, or FMCG industries.
  • Understanding of supply chain traceability and inventory reconciliation.
  • Internal Auditor certification (ISO 9001, FSSC 22000, HACCP, Organic Standards) preferred.
  • Knowledge of process improvement methodologies such as Lean, Kaizen, or TPM.
  • Ability to identify and implement process improvements to strengthen compliance and audit readiness.
  • Experience in preparing compliance dashboards, trend analysis, and management reports.
